Zoom is the cloud platform for video and audio conferencing, collaboration, chat, and webinars across mobile devices, desktops, telephones, and room systems. Before you start using Zoom, you are advised to read the user guide first.

Important notes on Zoom storage
Please read the following “Zoom retention arrangement” carefully. Recording files that exceed the retention period will be permanently deleted and cannot be recovered. It is advised to download and backup the required files on your own.

Zoom-Panopto integration.
Zoom and Panopto are integrated systems that provide a large storage space for Zoom recordings and facilitate easier sharing through Panopto and Moodle.

  • All Zoom recording will be transferred from Zoom Cloud storage to Panopto’s “My Folder” -> “Meeting Recordings” folder. Please also refer to the Panopto retention policy.
  • After the Zoom recordings are transferred to the Panopto, it will be moved to Zoom’s “Trash”. Recordings in the “Trash” will be kept for 30 days before being permanently deleted.
  • Files manually recovered from the Zoom “Trash” box will be retained for 3 months and then permanently deleted.

Backup your files

As Panopto serves as the main storage of the Zoom meeting recordings, it is advised to download and backup your important meeting recording files through Panopto from time to time. Please refer to the steps on downloading files here.

All Zoom recording will be transferred from Zoom Cloud storage to Panopto. Afterward, the files will be moved to “Trash, where they will be kept for 30 days before being permanently deleted.

To backup the Zoom recording files from the Zoom Cloud “Trash” folder within 30 days, please follow the steps below:

  1. Sign the zoom web portal at the website: https://hksyu.zoom.us/
  2. Click “Recordings” and then click “Trash” icon.
  3. Tick the recordings, and then Click “Recover”.
  4. Click “Recordings” in navigation menu, tick the video recordings after the files are recovered.
  5. Click “3-dot” icon and then click “Download” twice.
  6. Click “Allow” to download multiple files.
  7. Click “Save” several times to save all recordings *.mp4, *.m4a and *.csv files to hard drive.
